Retreat Terms & Conditions

1. Registration & Payment

Your place is confirmed upon receipt of a non-refundable deposit of 900 €. The remaining balance is due by January 14th, 2026. You may pay in full or in monthly installments (example: 3 x € 1,181 € after deposit). All payments must be completed by the due date unless otherwise arranged in writing.

2. Refund & Cancellation Policy

This retreat is intentionally small and intimate. Due to the significant upfront costs required to secure accommodation, transportation, private chef, and other services, please review the following cancellation policy before registering.

If you need to cancel:

  • Before November 14th, 2025:

  • Any payments made beyond the deposit will be refunded, minus a 150 € administrative fee.

  • Between November 15th, 2025 and January 14th, 2026:

  • You will receive a 50% refund of the total amount paid (excluding the deposit).

  • After January 14th, 2026:

  • Unfortunately, no refunds can be issued, as most costs will already be paid and your place confirmed.

  • However, if you can find someone to take your place, or if we can fill your spot from the waitlist, your payment will be refunded minus the € 900 deposit and a € 150 admin fee.

We highly recommend purchasing travel insurance that covers cancellations, medical emergencies, and weather-related delays, especially given the Arctic location and winter conditions.

3. Retreat Participation

This retreat is designed for personal and spiritual development in a respectful and safe group setting. You must be at least 18 years old to participate. You agree to approach the experience with openness, kindness, and respect toward other participants and the sacred space we create. The organizer reserves the right to remove anyone whose behavior disrupts the group, without refund.

4. Health & Responsibility

You participate voluntarily and at your own risk. This retreat is not a substitute for therapy or medical treatment. You are responsible for informing us of any physical, emotional, or medical conditions that may affect your participation. Please consult your doctor if you are unsure about your ability to participate in physical activities such as yoga, winter hiking, or sauna use.

5. Travel & Insurance

Participants are responsible for arranging their travel to and from Bodø, Norway. Comprehensive travel insurance is strongly recommended, covering cancellations, delays, medical emergencies, weather disruptions, and lost luggage. The organizer is not liable for costs incurred due to missed flights, travel delays, or changes in transportation schedules.

6. Weather & Outdoor Activities

The retreat program includes outdoor experiences that are weather-dependent. We will do our best to follow the planned itinerary, but nature is unpredictable, and substitutions may be made without compensation.

7. Photography & Media

There may be occasional photos or videos taken during the retreat (especially for the Northern Lights experience with the photographer). You will have the option to opt out of being included in any media shared for promotional purposes.

8. Force Majeure

In the event of unforeseen circumstances beyond our control (e.g., natural disasters, travel bans, pandemic resurgence, war, extreme weather), we reserve the right to cancel or reschedule the retreat. In such a case, you will be refunded all retreat fees paid, but we are not liable for any external costs (flights, hotels, insurance, etc.).

9. Retreat Schedule & Flexibility

While we aim to follow the described itinerary, the retreat flow may adapt based on the group's energy, weather conditions, or unforeseen needs. Participants are encouraged to stay flexible and trust the unfolding process.

10. Alcohol- and drug-Free Space

To support the energetic depth and healing of the retreat, this is an alcohol- and drug-free event. Participants agree not to consume alcohol or other drugs during the retreat dates, including at meals and in lodging spaces.

11. Personal Responsibility

You are responsible for your personal belongings and well-being throughout the retreat. The organizer is not liable for lost or damaged items or for accidents resulting from unsafe behavior, failure to follow guidance, or ignoring weather warnings.
